How many lights does your event actually need?
Most lighting quotes go wrong in one of two directions: a rig sized for a nightclub dropped into a quiet dinner room, or a flat, evenly-lit room that photographs like a conference hall. Neither is a fixture-count problem. Both come from skipping the question that decides everything else — what does the light actually have to do?
Start with the job, not the fixture count
A moving-head rig is usually doing three separate jobs, and they are not interchangeable:
- Setting the mood — a wide field of color across the room that shifts the feel from dinner to dancing.
- Giving people something to photograph — the shafts of light in the air that read in every dance-floor photo and video.
- Changing the room itself — washing the walls and columns so a beige ballroom stops looking like a beige ballroom.
Those three jobs are handled by two different fixture types plus a separate category most people forget to budget for. Get the mix wrong and you either overpay for beam fixtures nobody notices during dinner, or the room reads flat in every photo because nothing was aimed at the walls.
Wash vs beam: the two families of moving head
Wash fixtures throw a wide, soft field of color. This is what a guest actually feels as "the room changed color" — it works through dinner, during speeches, in any moment where a hard shaft of light would be distracting. Beam fixtures do the opposite: a tight, hard-edged shaft, visible in the air, that moves with the music. Beam is what shows up in a dance-floor photo. Wash almost never does.
Every stock rig we run mixes both, because a room that is all beam has no color and no mood before the dancing starts, and a room that is all wash has nothing for a photographer to point a camera at once it does. The ratio is the actual design decision — not the total fixture count.
Overhead truss or free-standing totems — the venue decides first
Before you pick a fixture count, find out whether the venue allows rigging from the ceiling. Plenty of Las Vegas hotel ballrooms and convention spaces do not, or they route it through an in-house rigger at a fee that is not in your AV quote. This is worth a phone call to the venue before you design anything, and it is the same question we walk through in our load-in and venue planning guide.
If rigging is allowed, an overhead truss — a horizontal goal post on two lifts — throws light down across the whole floor from one structure and clears the space below completely. If it is not, or the fee makes it not worth it, free-standing totems do the same job from the floor. Totems are typically 2 to 3 m tall, so plan roughly 3.5 m of clear ceiling above each one for the fixture throw to clear heads and not blind the first few rows — a smaller version of the ceiling math we use for LED walls in our sizing guide.
Totems also solve a problem truss cannot: placement. A totem goes exactly where the light needs to originate — flanking a stage, framing a dance floor, in a corner truss cannot reach — rather than wherever the rigging points happen to be.
How many fixtures for your room
These are the four stock rigs we run most often. They are a starting point sized to guest count and rigging rules, not a hard menu — see the full lighting packages for the complete spec on each.

Two situations push you up a package regardless of guest count. A room with two focal points — a ceremony space and a separate reception floor, or a stage plus a bar area people gather around — usually wants the fixture count split across both zones rather than concentrated on one, which in practice means treating each zone like its own smaller room. And a ceiling above about 6 m eats fixture output before it reaches the floor, which is a reason to add fixtures rather than assume height alone will look dramatic.
Uplighting is priced and counted separately
Uplighting — fixtures at the base of walls and columns, washing upward — is not part of the moving-head packages above, and it solves a different problem. Moving heads need the room dim enough to read; uplighting works even in a space with daylight or house lights still on, which makes it the fixture type that actually changes how a beige ballroom looks in every photo taken before the dancing starts. As a rule of thumb, plan on one fixture roughly every 3 to 4 m of wall, or one per structural column, and treat it as an add-on to whichever moving-head package fits your guest count.
What "programmed to your room" actually means
Every rig we send out is focused and programmed on site before doors — aimed at your actual room, cued to your actual running order, on a single DMX control line. That is a different result from a rig left on a factory preset loop, which is the difference between light that supports the moment your MC just announced and light that is simply cycling. Tell us the running order — entrance, dinner, speeches, first dance, open floor — and the cues get built around it rather than guessed at on the night.
A worked example
A 180-guest wedding reception in a hotel ballroom that does not allow ceiling rigging, warm and low during dinner, switching to full color once dancing opens, with the room perimeter lit for photography all night.
- 180 guests with no rigging points to Package 4: 4 totems, 12 fixtures, 6 wash / 6 beam.
- Wash-heavy split (6 of 12) covers the mood shift from warm dinner tones to party color without adding fixtures.
- Beam fixtures stay dark or low through dinner and cue up at the first dance, so the room does not feel like a dance floor before anyone is dancing.
- Perimeter is roughly 45 m of wall and columns — call it 12 uplights, priced separately, run the whole night regardless of what the moving heads are doing.
That is a room lit for two different events happening in the same space, on one rig, rather than a single look stretched across both.
What to send us
Send the venue name, the guest count, and whether the venue allows ceiling rigging — that last one narrows the design faster than anything else. If you already know the running order, send that too. We know most Las Vegas ballrooms and convention spaces, so the venue name alone often tells us the rigging rules before you have to ask.
